of the Council of the Faculty of Letters of the University of Wrocław of 12 November 2019

on

documenting the course of first-cycle and second-cycle studies at the Faculty of Letters of the University of Wrocław

Pursuant to Regulation no. 103/2017 of the Rector of the University of Wrocław of 02 October 2017 on documenting the course of studies at the University of Wrocław (as amended), the Council of the Faculty of Letters establishes the following detailed principles of documenting the course of studies:

1. The tasks and duties of all individuals involved in documenting the course of studies are provided for by the dean of the Faculty of Letters of the University of Wrocław in the regulation concerning the division of tasks and competences related to handling the University System of Student Service (Uniwersytecki System Obsługi Studentów (USOS)) at the Faculty of Letters.

2. The dates of performing particular tasks related to documenting the course of studies in the USOS system are provided for by the dean of the Faculty of Letters in the announcements concerning successive semesters.

3. Grades awarded to students after oral tests and examinations are entered into the USOS system on the same date and – in the case of written tests and examination – within six working days from the test/examination, however, no later than the last day of the examination session. This period may be prolonged on condition that the teacher (examiner, course/module coordinator) enters the grade by the end of the examination/re- take examination session.

4. The student who does not appear at the examination shall not receive the grade in the OSOS system.

5. After the USOS reports are closed, entering or amending the grade by the teacher resulting from the teacher’s mistake shall take place after the teacher submits a written petition to the dean’s office of the Faculty of Letters.

6. In the case of the students who have had their examination session prolonged by a appropriate vice-dean, grades are entered into the USOS system by the dean’s office of the Faculty of Letters. This shall be based on the written petition submitted by the teacher to the dean’s office of the Faculty of Letters.

7. Credit and examination reports, which are printed out from the USOS system and signed by teachers, are transferred in the course of an official procedure to the dean’s office within three days from closing the reports.

8. Students shall:

a) verify their individual USOS accounts and immediately report the mistakes related to the courses which they attend in a given semester to secretariats for teaching;

b) report mistakes concerning the grades entered – during the examination and re-take examination session to teachers and after the credit and examination reports are closed – to the dean’s office of the Faculty of Letters.

9. The course/module, for which the student enrolled, becomes the student’s obligatory course. The change to the registration or its cancellation is possible within three weeks from the beginning of the semester after the student files a petition in a appropriate secretariat for teaching. This procedure also concerns the registration for elective courses.

The courses which the student does not sign off within three weeks from the beginning of the semester or does not obtain credits for shall be repeated by the student upon paying a fee according to a appropriate regulation of the Rector of the University of Wrocław.

10. The documentation confirming the achievement of the learning outcomes defined in syllabi and the grades obtained is archived by teachers in the written and/or electronic form for

three years for first-cycle studies, two years for second-cycle studies and two (three) semesters for postgraduate studies. Such documentation includes in particular:

- the assessment criteria applied,

- the lists of issues/questions for the oral and written examination,

- documented (e.g. written, project-based) and assessed semester and examination tests and essays,

- the reports of oral tests and examinations, including the questions which the student was asked and the grade for them as well as the test/examination final grade.

- documentations of projects, session and conference materials etc.

11. Collecting and completing the documentation referred to in Point 10 hereinabove shall be the duty of the teacher of a given course and the examiner (this also pertains to doctoral students and external teachers).

12. The unit director coordinates the archiving of the documentation referred to in Section 10 hereinabove and specifies the manner and place, in which it is stored.

13. The basic form of documenting the course of study, i.e. the student’s achievements in particular semesters, at the Faculty of Letters is the entry into the USOS system. The complete set of grades for tests and examinations entered in the USOS system, provided for in the study curriculum or resulting from the student’s course of studies and the manner of participating in the courses defined by a appropriate vice-dean, is a requirement for completing the semester/year. Students can apply for registering for the next semester, having a credit deficit, or for repeating the semester/year pursuant to the principles established by the Council of the Faculty of Letters.

14. Resolution no. 60/2018 of the Council of the Faculty of Letters of the University of Wrocław of 24 April 2018 on documenting the course of first-cycle and second-cycle studies at the Faculty of Letters of the University of Wrocław expires.

15. This resolution becomes effective on the day of its adoption.
